Terms and conditions
Included in quoted programs:
Ground transportation in air conditioned vehicle; Domestic flight or train ticket; All accommodations as noted in the itinerary based on twin share with daily breakfast; Meals as specified in the programmed; Fully guided sightseeing as noted in the programmed (including park and entrance fees); Bottled water supplied during adventure activities (not applicable for sightseeing activities and kayaking);
Please note:
For group programmer: If a minimum number of passengers is not achieved, Tropical Tours may provide local guides in each location, in the place of tour leader. Services may also be modified to accommodate a smaller group.
For extension programme: All extensions are locally guided.
Not included in quoted programme prices:
Airport transfer unless otherwise stated; Early and/or late check in at hotels unless otherwise stated; International airfares unless otherwise stated; Visa fee and visa arrangement fee; Airport departure taxes; Gratuities and tips to hotel/restaurant staff, porter age, local guides/drivers and tour leader; Meals other than specified in the programme Drinks other than included in pre-tour documentation Sightseeing not included in the programme Personal expenses such as laundry, communication charges and optional activities (which are subject to availability).
Children and infants
For all tours children (from 6 to 12 years of age at the time of booking) are charged at 75% of the adult price. Children from 2 to less than 6 years old at the time of booking are charged at 50% of the adult price. Infants (under 2 years of age at time of booking) are charged at 10% of the adult price unless otherwise stated in the tour programmes.
Planned Group Programmes:
Tropical Tours guarantees the departure of set departure group programmes excepting only cases of force major (this includes any major world event that adversely affects international travel patterns) and other circumstances beyond Tropical Tours’ control. All other set departures will require a minimum number of passengers to operate. If the minimum number of passengers is not reached, Tropical Tours will offer one of the following options: modify the services of the original tour to accommodate a smaller group; or offer an alternative tour. If there is no suitable alternative, Tropical Tours will offer a full refund on all monies paid.
Sightseeing programmes
Accommodations (hotel or boat) and arranged sightseeing are subject to change at any time due to unforeseen circumstances or circumstances beyond Tropical Tours’ control. Every effort will be made to operate tours as planned, but changes may happen after the final programme has been issued.
Early check-in
Immediate check-in has not been included in the tour prices. Most hotels allow check-in to take place during the mid-afternoon. If you wish to have your room ready for immediate check-in upon arrival, Tropical Tours can arrange this for an additional charge. Please ask for details and prices.
Active Elements
On specified programmes some active elements are included into the tour. To enjoy the tour as intended, a minimum level of fitness is sometimes required to participate. The level required would be equivalent to what is obtained by routine daily exercise such as golf, jogging, energetic walking, tennis, etc. Activities during the tour may include (but are not limited to) trekking, hiking, off road walking, cycling, kayaking and navigating uneven terrain. If you have any questions or need any clarification about a specific tour, please ask for details at time of booking.
Deposit
For all programmes a non refundable deposit of $100 per person is required at the time of booking. Final payment is due 60 working days before your arrival. If your reservation is made within 60 days of departure, the entire cost of the trip must be paid at the time of confirmation.
Cancellation
Cancellations will be charged as follows: More than 60 days before arrival: no cancellation charge (US$ 100 non refundable deposit will be paid back) 14-60 days before arrival: 10% of the price 7-13 days before arrival: 50% of the price Less than 7 days before arrival: 100 % of the price
Cancellation of Extra Services
For additional hotel nights and other extra services booked in connection with tour programmes, cancellations will be charged as follows: More than 30 days before the service, will be refunded in full 15 - 30 days in advance: 50% of the price; Less than 15 days in advance: 100% of the price.
Claims and Refunds of Unused Services
No refunds or exchanges can be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the tour prices but not used by the tour member.
For verifiable claims to be considered, they must be received in writing within 30 days of the termination of the program and be accompanied by supporting documentation. Any adjustment considered will be based on the actual price of the services involved and not on a per diem basis. Tropical Tours will not accept any liability for any claims that are not received within 30 days of the termination of your travel programme. All claims for days missed while traveling should be made in writing within 30 days of the termination of the programme.
Amendments/Alterations:
An amendment fee of US$ 50 per person will be applied every time a confirmed booking requires amendments.
Liability & Insurance:
No refunds or exchanges can be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the tour prices but not used by the tour programme member.
In addition and without limitation, Tropical Tours is not responsible for any injury, loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force major, illness, disease, acts of war, civil unrest, insurrection or revolt, animals, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time. Additional expenses due to delays, accidents, natural disaster, political actions and unrest must be covered by the tour members. Tour members are required to have full travel insurance.
There are some inherent risks in adventure travel of the type involved here. These include, but are not limited to, risks of kayaking and rafting (for example dangers of rapidly moving water, rocks and other submerged objects, hypothermia, etc), hiking, trekking or climbing (for example, equipment failures, or other trail obstructions) and in all trips dangers of animals, inaccessibility to medical attention and difficulty in evacuation from remote locations in the case of a medical emergency. Passenger assumes all such risks with regard to these possibilities.
Airline time-table and local conditions may affect accommodation and itineraries. If this happens, Tropical Tours will substitute a suitable arrangement of similar value Participation on any tours implies full agreement to the above conditions by all parties involved.
Photography:
During your programme, Tropical Tours reserves the right to take photographs or part of them and to use them for promotional purposes. By booking a reservation with Tropical Tours, programme members agree to allow their images to be used in such photographs. Program members who prefer their images not be used are asked to identify themselves to their tour leader at the beginning of their programme.
Travelers Representations:
The traveler represents that neither he nor she nor anyone traveling with him or her has any physical or other condition or disability that could create a hazard to himself or herself or other members of the tour. Tropical Tours reserves the right to decline/ to accept anyone on a trip. Tropical Tours reserves the right to remove from the trip, at his or her sole expense, anyone whose condition is such that he or she could create a hazard to himself or others, or otherwise impact the enjoyment of other passengers on the trip.
PAYMENT OF THE PROGRAMME PRICE CONSTITUTES YOUR ACCEPTANCE OF THE TERMS AND CONDITIONS SET OUT HEREIN AND IN MORE SPECIFIC PRE-DEPARTURE PASSENGER DOCUMENTATION, INCLUDING THE RESERVATION CONFIRMATION FORM.
